We're Looking for an Ice Scheduler and a Bookkeeper

MWF is seeking an Ice Scheduler and a Bookkeeper to support our VP of Hockey Operations and VP of Finance, respectively. ICE SCHEDULER

The Ice Scheduler is a key role and works closely with the VP of Hockey Operations as part of the Hockey Operations Committee ensuring the smooth operation of all on-ice activities for the association. This position manages ice contracts, allocates ice time equitably across teams, and coordinates scheduling logistics throughout the season. 

*A $15,000 stipend is provided in recognition of the time and commitment required. 

Responsibilities include: 

  • Planning & Allocation (Front-End)
    • Manage HRM ice contracts and renewals.
    • Develop the master ice map, ensuring equitable and efficient distribution.
    • Work with VP Player Development and Technical Director to determine ice needs.
    • Monitor pre-season, evaluations, Force Cup, playoffs and other development activities for ice needs.
    • Identify unused ice and coordinate swaps/sales.
    • Act as the primary contact for facilities, including sending weekly schedules.
  • Administration & Communication (Back-End)
    • Enter finalized allocations into Skedda.
    • Communicate schedules to team managers and coaches.
    • Manage cancellations, swaps, and revisions in Skedda.
    • Update GrayJay for games and practices.
    • Communicate with VP Finance on monthly ice contract payments.
    • Act as the primary contact for age level coordinators and team managers regarding ice scheduling matters.

Criteria:

  • Highly organized and detail-oriented.
  • Proficient with Google Docs (Sheets) and scheduling platforms.
  • Experience with GrayJay would be an asset.
  • Strong communicator and responsive collaborator.
  • Comfortable with technology and data entry.

Estimated Time Commitment: 10-15 hours per week (could be higher at certain times)


BOOKKEEPER

The Bookkeeper plays a vital role in supporting the financial operations of the Hockey Association. This position reports into the VP Finance to ensure accurate record keeping, timely payments, and transparent reporting throughout the season.

*A $5,000 stipend is provided in recognition of the time and commitment required. 


Responsibilities include: 

  • Recording Transactions: Accurately log revenues, expenditures, and purchases using Quickbooks Online.
  • Accounts Payable (A/P): Performing accounts payable duties, including keeping track of supplier invoices and remitting timely payments.
  • Accounts Receivable (A/R): Overseeing accounts receivable by creating invoices, tracking payments and collecting overdue accounts.
  • Bank Reconciliation: Match internal financial records with monthly bank statements to resolve discrepancies.
  • Ledger Maintenance: Keep the general ledger balanced.
  • Financial Reporting: Generate monthly and annual profit-and-loss statements, balance sheets, and cash flow reports. 

Criteria: 

  • Recording Transactions: Accurately log revenues, expenditures, and purchases using Quickbooks Online.
  • Education: A diploma or degree in accounting, finance, or a recognized bookkeeping certification (or a minimum of 5 years in a bookkeeping capacity).
  • Technical Proficiency: High comfort level with spreadsheets (Excel, Google Sheets) and accounting software (knowledge of Quickbooks Online an asset).
  • Highly organized and detail oriented.


Estimated Time Commitment: Approx 5 hours per week (may be higher at beginning and end of season)
